CONFERENCE PLANNING GUIDE
STEP # 1: NASHC CONFERENCE
Future meeting site(s) and host(s) are selected at meetings by members in attendance, with proposed/optional dates, and topic suggestions. Continuing education sponsorship is determined. Secretary records plans in minutes. Host begins to plan conference.
STEP #2: JANUARY 1/JUNE 1
Host makes hotel arrangements and finalizes conference dates. Host sends confirmation of dates and hotel, with hotel rates and dead-line information and travel information if needed, solicits additional topic suggestions, develops program, and arranges meeting breakfasts (unless provided by the hotel), Friday lunch, and any other activities (possible Thursday and Friday dinner, and Saturday post-meeting plans/suggestions).
STEP #3: SIXTY DAYS PRIOR TO CONFERENCE
Host sends out announcement, to include dates, planned topics/speakers, any special activities planned, and agenda if completed. Announcement is posted on NASHC website and members are reminded in mail-out to check website for details.
STEP #4: SIXTY – FORTY-FIVE DAYS PRIOR TO CONFERENCE
Host sends out meeting agenda with timeline and other details, including arrangements/suggestions for pre/post-conference dinner and leisure activities. If requested, members RSVP for planning purposes (response may be important for meeting room, speaker, lunch, dinner and special activity planning). Details are posted on website.
STEP #5: PRN
Host provides agenda, speaker vitae and other required information to ASHA CEU sponsor as/when needed.
STEP #6: CONFERENCE DATES
Host calls the conference to order Friday and adjourns Saturday. Host serves as moderator for the conference, introducing speakers, seeing that the agenda and time-line are followed, and overseeing local arrangements/ activities.
